General Meeting Flexibility

The C&S Executive has resolved to extend the Temporary Part 8 provisions in the C&S Constitution, as adopted at the C&S Council Meeting 1/20, until 30 June 2021.

The C&S Executive has resolved to extend the Temporary Part 8 provisions in the C&S Constitution, as adopted at the C&S Council Meeting 1/20, until 30 June 2021. As such clubs can still choose to: 

  • Operate in a caretaker capacity until the next opportunity arises to have a General Meeting in Semester 2 and co-opt eligible ordinary members into any vacancies that arise in the meantime (more information on co-option can be found below). 
  • Conduct elections at an Annual General Meeting (AGM), Extraordinary General Meeting (EGM) or Ordinary General Meeting (OGM).

Clubs that held AGM's in Semester 2, 2020 do not need to hold an AGM again, but might elect to fill vacancies and / or elect currently co-opted positions via a by-election at an OGM.  Clubs can also choose to host an OGM / EGM just to pass any proposed constitutional amendments (subject to discussion with the C&S Coordinator and approval by the C&S Executive) or host an OGM (with no by-elections or proposed amendments) simply for the express purpose of holding a General Meeting. Clubs can choose to conduct their General Meetings in one of two ways: 

  • 100% online via Zoom; or 
  • A blended format that incorporates both online and in person attendance

Please note that all elections will require the C&S Vice President (or their nominee) to act as Returning Officer.  Due to Monash venue capacity limits, all attendees must be given the opportunity to virtually attend an in-person General Meeting.  As such, all elections regardless of format, will be conducted online (further details of election procedures will be discussed with clubs who register their intent in the Google form found below). 

Additionally, please further note that the ability of clubs to host blended General Meetings is subject to changes in Monash University policies regarding in-person events held on campus.  All clubs are required to read the Advice Document and discuss all options at a committee meeting prior to filling out the Register your Intent form.  Clubs wishing to hold an Ordinary General Meeting without elections are still asked to fill out the form advising C&S of your intent.  Please email any outstanding questions / concerns to the C&S Vice President, vicepresident@monashclubs.org.
